WHAT YOU’LL DO
The candidate will lead by facilitating communication among Inventory, warehousing, and other departments. They’ll coordinate with Sales, Dispatch, Manufacturing, and Quality Control teams for effective goods movement. In team management, they’ll set and exceed daily targets, share work schedules, and ensure staging plan adherence. Monitoring variances, maintaining balance records, and preventing stockouts will be their focus in data analysis and inventory stock management. They will enforce policies, manage safety, and uphold proper stock controls.
The Role in Brief
An inventory officer is a member of the inventory management team in charge of coordinating the day to day activities on the floor through decision making, leadership, task resolution and coordination
Duties and Responsibilities
Leadership
1. Acting as a communication channel between Inventory, warehousing and other
departments such as Supply Chain, Finance, Sales and Business Operations
2. Acting as a communication channel between the inventory, warehousing and
management team
3. Coordinating with the sales, dispatch, manufacturing and quality control team on
movement of goods in and out of the warehouse
Team management
1. Leading the team in meeting and surpassing daily targets.
2. Setting up daily targets for the team and expected KPIs
3. Making a daily work plan and sharing the work plan with the members of the
Inventory team
4. Ensuring adherence to the staging plan
5. Monitoring and compiling team overtime hours
Data Analysis and Evaluation
1. Checking on variances between supply chain order quantities and inventory receipt
quantities
2. Checking between inventory raw material issuance quantities and manufacturing
receipt quantities
3. Checking between manufacturing finished goods issuance quantities and inventory
receipt quantities
4. Checking between inventory finished goods issuance quantities to logistics receipt
quantities
5. Keeping a running balance record of goods within inventory and comparing that to
actual physical quantities within inventory
Inventory Stock Management
1. Monitoring stock levels to prevent stock outs and items being below minimum stock
balances
2. Mapping out the expected storage space allocation for finished goods and raw
materials while still monitoring warehouse organization
3. Coordinating Daily, weekly and monthly stocktakes
4. Monitoring accumulation and movement of Slow Moving and Obsolete Stock
5. Conducting weekly audits that compare running balance to physical count to ensure
proper stock management
Policy and Inventory Controls
1. Oversee the inventory and warehousing team members to ensure adherence to
company policies and Standard Operating Procedures
2. Monitoring stock movement in and out of the stores to prevent loses
Safety and Security
1. Securing doors through arming and disarming them and controlling access to godown
keys and the key cabinet
2. Ensuring adherence to safety standards that have been set up as well as guiding the
team to achieve the various safety requirements
3. Following up on resolution and reporting of unsafe acts by members of the inventory
team
4. Taking daily/ weekly Gemba walks through inventory godowns to ensure proper store
organisation and adherence to safety policies and procedures
Qualifications
● At least a diploma in any field or 4 years working in Inventory
● Advanced understanding of databases such as excel
● Experience using ERPs or a data capturing system
